Task Management
Keep your project on track with integrated task management that lives right alongside your whiteboard. Mycelo’s task system helps teams organize work, track progress, and collaborate effectively without leaving the canvas.
Getting Started with Tasks
Tasks in Mycelo are tied to your workspace and can optionally be linked to specific nodes on your canvas. This keeps your work visually connected to your ideas.
To access tasks, click the Tasks button in the main toolbar. This opens a slide-out drawer from the right side of the screen, showing your task lists.
Creating Tasks
There are multiple ways to create tasks, depending on your workflow:
Via Chat Command
For quick task creation during conversations:
- In the chat sidebar, type
/taskfollowed by your task description. - Press Enter.
- You’ll see a “Creating task…” indicator, then a confirmation message with a clickable link to the new task.
Example:
/task Review the new design mockups
This creates an “Open” task instantly and shares it with your team.
Via the Tasks Drawer
For detailed task setup:
- Open the Tasks drawer.
- Click the “New Task” button (plus icon).
- Fill in the task details in the modal that appears.
Task Properties
When creating or editing a task, you can configure:
- Title: The main name of the task (required field, marked with *).
- Description: Detailed instructions, requirements, or context.
- Status: Current progress state:
- Open: New task, ready to start.
- In Progress: Work has begun.
- Done: Completed successfully.
- Archived: No longer active.
- Priority: Urgency level:
- None: Standard priority.
- Low: Nice to have.
- Medium: Should do.
- High: Important.
- Urgent: Critical, needs immediate attention.
- Assignee: Select a workspace member from the dropdown (or leave unassigned).
- Start Date: When work should begin.
- Due Date: Deadline for completion.
Tasks show visual badges for status, priority, and dates to make them easy to scan.
Task Views
The Tasks drawer has three tabs to help you focus:
- My Tasks: Tasks assigned to you, across all statuses.
- Workspace: All tasks in the current workspace, including unassigned ones.
- Assigned by me: Tasks you’ve created and assigned to others.
Each view shows tasks in a list with key information at a glance.
Task Details and Collaboration
Click any task in the list to open its detailed view. This full-screen overlay (or inline in the drawer) has four tabs:
Details Tab
Edit core task information:
- Inline editing for title and description.
- Dropdowns for status, priority, and assignee.
- Date pickers for start and due dates.
- Metadata showing creation date and creator.
Only the task creator can modify these settings to maintain accountability.
Subtasks Tab
Break down complex tasks into manageable steps:
- Add subtasks by typing in the input field and pressing Enter.
- Check off completed subtasks with checkboxes.
- Reorder subtasks by dragging (if supported).
- Delete subtasks with the remove button.
Subtasks help track progress on multi-step work.
Comments Tab
Discuss tasks and provide updates:
- View all comments in chronological order, showing author and timestamp.
- Post new comments in the input field at the bottom.
- Comments are threaded under the task for context.
Use comments to ask questions, share progress, or request feedback.
Attachments Tab
Share files related to the task:
- Upload files by clicking “Attach files” or dragging and dropping.
- Supported file types include documents, images, and more.
- View attached files as chips with icons, names, and sizes.
- Download individual files or open them in new tabs.
- Delete attachments (with confirmation).
Attachments keep all relevant materials in one place.
Task Actions
From the task detail view:
- Edit: Modify any editable fields inline.
- Delete: Remove the task (only by creator, with confirmation).
- Jump to Node: If the task is linked to a canvas node, center the view on that node.
- Close: Return to the task list.
Permissions and Access
- Creating: Any workspace member can create tasks.
- Viewing: All workspace members can see all tasks.
- Editing: Only the task creator can change status, priority, dates, and assignee.
- Comments & Attachments: All members can add comments and attachments.
- Subtasks: All members can add, check, and delete subtasks.
This structure ensures accountability while allowing full collaboration.
Tips for Effective Task Management
- Use the
/taskcommand during meetings to capture action items quickly. - Assign tasks immediately when creating them to avoid confusion.
- Set realistic due dates and use priorities to guide focus.
- Break large tasks into subtasks for better progress tracking.
- Use comments for updates instead of separate chat messages.
- Attach reference materials to keep everything organized.
- Review “My Tasks” daily and “Assigned by me” weekly.
